About the role:

Reporting to the CFO, this 6 months contract you see the successful candidate working 3 days per work working across a broad range of internal projects responsible for providing support and guidance to project stakeholders and project managers from an administrative aspect.

Accountabilities will include:
  • Responsible for the formation and maintenance of project documentation including program registers.
  • Set up and maintain project files and establish and maintain effective document control.
  • Utilise recommended project control solutions for planning, scheduling and tracking.
  • Track and report on project progress and performance, across the project portfolio.
  • Facilitate all aspects of project meetings, including meeting bookings, documentation for the meeting and minutes of the meeting.
  • Establish and maintain effective relationships with project personnel along with key stakeholders.
  • Liaise with project team members and other stakeholders to proactively monitor and follow up the status and completion of tasks and activities.
  • Collect and update financial actuals data to support project spend analysis and cost forecasting.
  • Ensure project documentation aligns to governance processes and that audit trails are maintained for individual projects.
  • Assist in building and documenting the Project Portfolio for the organisation

Selection criteria:
  • Minimum 2 years' experience working on large multi-faceted programs and within a project interface role.
  • Demonstrated understanding of project and change management principles and concepts.
  • Developed interpersonal, negotiation, written and verbal communication skills.
  • Proven experience assisting with the preparation, tracking and management of project documentation.
  • Previous involvement coordinating and preparing workshops, meetings and conferences
  • Preparation of the meeting agenda, papers and minutes as required and facilitating follow up action.
  • Strong administrative and Microsoft skills across Office and Office 365 suite
