One of the most prominent professional service providers in the World is currently seeking an Executive Assistant to work closely with the Principal and administrative staff of their incorporated legal practice.

This Migration Services team consult with publically listed, private and government organisations spanning multiple industries and countries to ensure that appropriate controls and processes are in place to secure clients strategic and operational objectives.

Duties of this Executive Assistant role will include (but are not limited to):
  • Extensive diary and travel arrangement for the Principal
  • Screening telephone calls and handling where appropriate
  • Email management including drafting emails on behalf of the Principal
  • Drafting correspondence
  • Preparation for meetings including providing the relevant information and documentation
  • Dealing with incoming and outgoing mail
  • Support with Marketing which can include tagging clients, maintaining client lists, bulk mail outs
  • Inputting time sheets and managing expense claims
  • Data management and filing
  • Preparing conflict checks
  • Reporting - WIP, productivity, debtors
  • Arranging meetings and organising catering, tele/ video conferences
  • Billing
  • Event organisation for internal and external
  • Occasional project and administrative work
The successful Executive Assistant will have a minimum of three years' experience working within a legal support role, which can include administration, Paralegal, Legal Secretary, Personal Assistant or Executive Assistant. It's imperative that you have proven experience within the legal industry, whether it is in private practice or in house legal team for a professional services firm.

You must also possess the following:
  • Proven experience with word processing (and digital transcription) experience
  • Must be a strong typist - at least 70 wpm.
  • Some understanding of corporate immigration and related visa categories
  • Ability to work autonomously and be proactive in seeking out answers or further advice where required
  • Has a strong client service ethic with colleagues, internal and external contacts
  • Willing to go the 'extra mile' to commit to excellence, sets and achieves high standards
  • Adapts to changing workloads, deadlines and developments and maintains composure; helping others to do the same
  • Communicates clearly, concisely and accurately in all verbal and written communications, using appropriate business language
  • Advanced knowledge of Microsoft Office suite and Leap Migration Manager
